1. Outlook

The simplest universal method of saving your emails as a PDF is found in Outlook, which is available on almost every platform possible. So, if you use Outlook, the steps are very similar and quite straightforward for each device.

  1. Navigate to Outlook.com in a web browser.
  2. Select the email message you wish to save and click the “Printbutton in the toolbar above.

If you’re using Outlook.com on Safari on Mac, you won’t see the traditional browser printer menu but instead Apple’s built-in one. When it pops up, ignore everything and just click on the “PDF” button in the bottom-left. Then, name your PDF and choose a location for it, and click Save.

Outlook App on Windows & macOS

There are technically two different versions of Outlook available for desktop users. There’s the standard Outlook app for Windows and then the Preview version, which happens to be the standard Outlook app on Mac. So, if you have the new app, just follow the steps given above for Outlook.com as the app looks and functions the same as the site.

But if you’re using the standard Windows app, then follow these steps:

  1. Launch Microsoft Outlook

  2. Simply right-click on your desired email and select Quick Print from the menu (2nd option from the top).

If you’re on mobile, the steps for downloading an email as a PDF on the Outlook app are the same across Android and iPhone devices:

  1. Launch Outlook on your phone and open the email you want to save.
  2. Press on the three dots in the right corner and tap on “Print“.

If you’re on iPhone, you won’t see this print menu, instead you’ll see the built-in iPhone print menu. In here, tap on the Share icon at the top-right corner, then tap on Save to Files. Now, just enter a name and select a location for your PDF file, and hit Save.

2. Gmail

If you use Android, then you most likely have a Gmail account. You can easily convert Gmail to PDF on all devices by following the steps below.

This method works on anything that runs a browser, but more realistically Windows and macOS devices:

  1. Launch your preferred browser and head over to Gmail. Open the email you want to save as PDF.
  2. If you want to print the whole email conversation, then press the “Print All” button. Otherwise, click on the three-dot icon of the email you wish to download.

  3. The printer menu will now open in new tab. Click on Print, choose a location and name for your PDF and hit Enter.

There you have it. Your email is saved as a PDF on your computer.

Gmail App on Android & iPhone

  1. Download and open the Gmail app on your mobile
  2. View and open the email you want to download as a PDF.
  3. Press on the three dots in the top right corner.

3. Apple Mail

You can save emails as PDFs using Apple’s built-in Mail app on the iPhone, iPad and macOS easily. In the Outlook and Gmail sections above, we have already highlighted how the “Print” function works on iPhone but let’s talk specifically about Apple Mail now:

  1. Launch the “Mail” app on your device. Open the email you wish to save as PDF.
  2. Now, tap on the Reply icon in the bottom.

The issue with Gmail not sending emails isn’t something you’ll come across often, but it’s still a headache when an important email that needs to be sent gets stuck at the wrong time. The emails get queued up in the outbox and are not sent until you fix the problem.

Now, one workaround that can work is that you should refresh your Outbox and see if the queued emails show the ‘sending’ status. If it does, then your email will be sent in a moment.

If this doesn’t work, then there will be some other reasons why your Gmail app isn’t working. Make sure your internet connection isn’t weak and no antivirus is blocking the app.

What should I do to get Gmail to send my emails again?

Below will be 4 tried and tested methods to solve this issue, but before that, check Gmail’s status and see if there’s a service disruption or outage. If there is, then it won’t function until Google actually solves the problem on its end. In such cases, you can only wait and hope the service will be up and running soon.

  1. Clear App Cache and Data: Too much cache is not helpful for any app, and the same is the case with Gmail. There’s a big chance that this is the reason why your emails are stuck in the outbox, so clearing both the cache and the data will remove any bugs that were the reason for this problem. Also, clearing data doesn’t remove anything from your account, and you won’t lose any of your emails, so there’s no need to worry.
  2. Unsync and Sync Gmail Again: The sync function can stop working sometimes in Gmail, so simply restarting it will send your emails queued up in the outbox.
  3. Enable Background Data for Gmail: Enabling this lets Gmail use mobile data to refresh itself in the background if the app is not active. If you used mobile data to send the emails and closed the app with background data disabled, the emails will be stuck in the outbox. So, make sure this option is enabled.
  4. Use Gmail in Browser: If there are still some problems with your app, then use Gmail in any browser in the meantime. Moreover, you can also try updating the Gmail app.

Google critical security alert emails are received by users when there is some suspicious or unwanted activity occurring in their accounts.

It could be that someone was trying to log in to your account, or an unusual number of emails were sent at once. You can also receive this email when you log in to Gmail on a new device.

Now, scammers can create the same email and send it to you. The email will ask you to take some action because your account is in trouble. Once you click on that link and enter your login credentials, your account will be hacked.

Therefore, knowing the difference between a real and fake security alert email is essential.

First, I will explain the parameters you need to check for differentiation. Second, I will tell you how to determine if the email is from Google or a scammer. Lastly, there is a section for those who have fallen for the scam and the steps they can take now.

How can one differentiate between a real and fake security alert email?

There are four details to check in order to determine whether the email is real or not. If these elements look suspicious, the email is likely to be fake.

1. Check the Sender’s Email Address

The email you will receive from Google will have the following email address:

no-reply@accounts.google.com

If that’s not the case, then it could very well be a scammer who sent you the email.

The job doesn’t end here. The scammers can do email spoofing and make themselves appear as if the email was indeed sent from Google. This is a common practice in phishing attacks and makes it difficult to spot a fake email.

Therefore, you must also go through the other two steps to be fully satisfied that the Google critical security alert email is genuine.

2. Check The Email Header

The headers of any email contain the Mailed-by and Signed-by addresses. When you receive a security email, check if both of them lead to a Google domain or not. If not, then this is a red flag.

Here’s how you can see the headers in Gmail:

  1. Go to Gmail and click on the security alert email.
  2. Click the drop-down arrow beside “to me”.
  3. Now check the Mailed-by and Signed-by headers.

As you can see, the Mailed-by address will be gaia.bounces.google.com, and the Signed-by address will be accounts.google.com.

On the other hand, a fake email can have a header like this: http://scammer.com/a/google.com

Here, google.com is in a folder rather than the domain. It’s enough evidence to consider it a phishing attempt.

3. Check the DKIM of the Email

DKIM (DomainKeys Identified Mail) is a good way to check the authenticity of the email as it contains the domain from where the email was sent. So, for instance, if the email is from Google, the DKIM section will read, ‘PASS’ with domain accounts.google.com. If the domain doesn’t lead back to Google, then the email is not safe.

Here’s how to check the DKIM of an email:

  1. Open the security alert email.
  2. Click on the three vertical dots menu on the right,
  3. Click on Show original to open the email Header

  1. Now you can check the DKIM and other details of the email. 

4. Check the Information in the Email

A security email from Google will usually contain sign-in details which include the time, location, and device that was used for signing in.

Contrarily, a fake email will have irrelevant attachments, phishing links, contact forms, and so on. If this is the case, know that this email is not from Google.

What to do if the Critical Security Alert Email is from Google?

If the email is from Google and you indeed signed in to a new device, then it’s not a problem. Simply click on Yes, It’s me and you’re good to go.

However, if it wasn’t you who signed in, then there’s an issue. Someone else has tried logging in to your account or has logged in. At this point, you should do the following things:

  1. Change your account password and log out from unknown devices.
  2. Go through your Google account security settings and make sure nothing has changed like your recovery email, phone number, etc.
  3. Remove apps to whom you didn’t give email access yourself.
  4. Enable Two-step verification.
  5. Review your Subscriptions and Payment settings to ensure no transaction has been made that you didn’t make.
  6. Change the passwords of apps (especially banks) that are synced with your Gmail and saved on the browser.

What to do if the Critical Security Alert Email is from Scammers?

If this is the case, then it’s not something to worry about (if you didn’t click on anything). A phishing attack only succeeds when the users share their private information. If you haven’t done that, then you’re safe.

Here are some things to remember if you’re sure that it is a fake email:

  1. Do not open any attachments.
  2. Do not open any links.
  3. Don’t call the contact number, if there’s any.
  4. Click on the three dots menu on the right and select Report phishing to report the email.

  1. Block the sender to avoid receiving any more scam emails from them.

What to do if you Fall for the Fake Email?

Phishing emails are common. In fact, they were the number one cybercrime in 2020. If you’ve become a victim, first make sure to reset your account’s password.

Use your recovery email or phone number to log in and change the login credentials as soon as possible.

Secondly, run your antivirus to look for any malware or suspected files that were installed by the scammers. If found, delete them permanently.

Similarly, if you opened a link and landed on a doubtful website, then reset your browser. This will stop the scammers from hijacking it.

Lastly, if someone has gotten complete access to your account, unfortunately, then make sure you change all the other saved passwords. This will at least keep them from accessing some of your other accounts.

Remember the points I’ve mentioned to avoid falling for phishing emails. Never click on anything if the email looks suspicious. And once you realize the email is fake, don’t delay reporting it.

3. Remove the Gmail Account

Another method you can try to fix the issue is to remove your account from the Gmail app and add it again. Doing this can help in various ways. For instance, there could be a syncing issue between your account and the app, due to which you are unable to save the picture.

Additionally, it will help clear old data and cache associated with the account. Consequently, it will resolve issues with the account or the app. Removing the account and adding it again will also help troubleshoot any other problems by resetting the app and giving it a fresh start.

Here’s how you can remove your account from the Gmail app:

  1. Open the Gmail app and tap on your profile picture in the top right corner.

In some cases, this data is unnecessary and needs to be deleted for a boost in Outlook’s performance. You can delete this cache list by following the instructions given below:

  1. Press the Win key to access the Start menu.
  2. Search for “Outlook” and open the app.
  3. Click on the “Files” option in the top left corner.
  4. Open the options above ‘Exit.’

Outlook has three preset views for the Inbox folder: Compact, Single, and Preview. Each of them offers a different layout and organizes your emails in a unique manner. The default view in Outlook is Compact, which users can easily change to Single or Preview.

Moreover, there are also options to customize the selected view. You can add or remove columns, group items, sort emails in ascending or descending order, change the formatting of columns, and more.

Besides, you can create a new custom view as well. Currently, Outlook has seven types of views or layouts from which you can choose. I’ll start with a brief overview of the three preset views and then move on to the changing process. Afterward, we’ll see how to customize, create, or delete a view in Outlook.

Present Views in Outlook.

After installing Outlook, there are three main views you can apply to your inbox. By default, Compact will be set as the primary view, but you can always change it. The following is a short introduction to the three views.

1. Compact View (Default).

The Compact layout displays the list of emails along with the reading pane. In this layout, each email displays four items: the sender’s name, subject line, a brief preview text of the email, and the received date.

2. Single View.

The single layout displays even more information than the compact view. In this layout, the email is divided into two columns. The first one displays the sender’s name, subject, attachments (if any), received date, size, and more. Similarly, the second column allows you to read a preview of the message. There is also a reading pane on the right.

3. Preview the view.

The Preview view is the same as the Single; however, it shows the information and preview in wider columns and has no reading pane. The Single and Preview layouts work well if you have a wider screen.

How to change the view in Outlook.

Changing the view in Outlook is really simple and only requires three simple steps. When you are changing the layout, Compact will be selected. So, make sure to select either the Preview or single layout to notice the change.

Here’s how to do that:

  1. Select the View tab from the top menu bar.
  2. Click on Change View located at the start of the subsequent menu bar.

Once done, you will have a new-looking inbox. To shift back to the Compact view, follow the same steps as above.

How to Customize a View in Outlook.

Outlook allows you to customize certain aspects of a view. Therefore, if you do not like the default layout, there are options to make adjustments according to your preferences.

Here’s how to access the customization settings:

  1. Go to the View tab > View Settings.

  1. From the Advanced View Settings, choose any of the available customization options.

  1. Adjust them to your liking and save the settings.

These are all the customization options in Outlook:

  • Columns: Users can add or remove columns, as well as rearrange them.
  • Group By: Users can group the items in any field in either an ascending or descending sequence.
  • Sort: Users can group items in any field in either an ascending or descending sequence.
  • Filter: This allows you to filter the items in order to find the specific emails you are searching for.
  • Other Settings: Users can change the font and its size for both columns and rows. In addition, they can select the grid line style, preview the font, choose the location of the reading pane, and access some more options.
  • Conditional Formatting: This feature enables you to filter emails more effectively. For instance, if a user wants to view only expired or overdue emails, conditional formatting will display just those. Additionally, it can allow you to see all the emails from a specific sender.
  • Format Columns: Users can modify the columns by changing their colors, fonts, widths, or alignments.

How to Create a New View in Outlook.

Apart from changing and customizing the preset views in Outlook, there is also an option to create your own view from scratch. Outlook offers seven view layouts from which to choose.

But before looking at them, here is how to create a new view.

  1. Navigate to View > Change View.
  2. Click on Manage Views.

  1. Insert the name, choose the type of view that you want, and select where the view can be used.

  2. Next, modify your view in the Advanced View Settings screen and click OK.

  1. Finally, click on Apply View to use the new layout instantly.

Here’s a brief run-through of the types of layouts you can select in Outlook for your new view:

  • Table: This displays the emails in rows and columns. All the preset views follow this layout.
  • Timeline: It displays the items that were sent or received over a specific period of time. It is helpful to organize emails about a specific project in one place.
  • Card: This view displays some details of your items along with their subjects.
  • Business Card: This displays more information than the Card view. You can see the name, photo, email, and other details of your contacts.
  • People: This is similar to the Card and Business views, but it shows fewer details. Here, you will only see the names and photos of your contacts.
  • Day/Week/Month: This format is primarily utilized in calendar folders to exhibit the items within your calendar in a grid style. In this view, you can effortlessly observe the forthcoming events.
  • Icon: This view simply displays the items along with their icons and subjects.

How to Delete a Custom View in Outlook.

If you want to delete the custom view that you have made, please follow the steps below.

  1. Go to the View tab and navigate to Change View > Manage Views.

Since Microsoft has already addressed this issue, you might see this behavior if you are missing one or more Windows infrastructure updates.

However, another potential cause for this issue could be that you have too many applications running on your computer. Try closing the unused apps and also restarting Windows Search to clear all the cache files that are affecting it.

This could also happen on your system if a registry entry is not allowing the indexing process to work properly. You can fix this by enabling the correct registry entry.

Besides the scenarios covered above, the indexing issue could also be caused by system file corruption.

Here is a list of confirmed methods that should help you fix the issue.

Run the Search and Indexing Troubleshooter.

This issue could be caused by a generic system error that affects the indexing. This can have many different triggers, but fortunately, there is a fix that can be applied in most scenarios. If you haven’t done so already, try running the Search and Indexing Troubleshooter to identify the problem and fix it automatically.

To do this, you need to access the Windows Settings and search for the troubleshooter’s section. Then, run the Search and Indexing Troubleshooter to see if it can identify the problem by leveraging any of the included automated repair strategies.

Here are the steps you need to follow:

  1. Open a Run dialogue box by pressing the Windows key + R.
  2. Inside the search bar, type ‘ms-settings:’ and press Enter to open the Windows Settings.

  3. From the System menu, scroll down until you see the Troubleshoot section. Access it once you find it.

  4. Select the Other troubleshooters button.
  5. Scroll down through the list of troubleshooters until you find the Search and Indexing troubleshooter.
  6. Click on the Run button when you see it.

  7. Now select all the problems that you encounter to help the troubleshooter fix your issue.
  8. Click on Next when you are done.

  9. If you want, you can enter a short description of the error. Select Next when you are done.
  10. Select the ‘Try Troubleshooting as an Administrator‘ button to grant admin permissions.

  11. Now repeat the process from steps 6 and 7 to see if the troubleshooter detects and fixes your issue.

Install pending Windows updates.

This issue could also appear if you’re missing a key Windows infrastructure update.

To ensure this is not the case, make sure your Windows is up-to-date – this issue was addressed with a series of hotfixes that Microsoft has pushed on every update channel (both public and insider channels).

All you need to do is go to the Windows Updates screen and check if there are any available updates. If there are, install all of them.

  1. Press the Windows key + R to open a Run dialog box.
  2. Type ‘ms-settings:‘ inside the search bar and press enter to open the Windows Settings.

  3. Access the Windows Update section from the left side.
  4. In case there are pending updates, they will be visible, and you will also see the ‘Install Now‘ button. Click on it to install them.

    Note: If no updates are displayed when you first open this window, click the ‘Check for Updates‘ button to see if the scan detects any.

  5. After installing all available updates, restart your computer and wait for the subsequent startup to complete.
  6. Once your computer has completely booted back up, test to see if the Outlook 365 Indexing problem still appears.

Restart the Windows Search Service.

Another cause for this issue could be that an associated dependency (Windows Search) is encountering problems. The Windows Search process is the primary method for indexing files on both Windows 10 and Windows 11, so having it correctly configured is mandatory for the indexing process to work.

In this case, all you need to do is restart the Windows Search process. This can be done from the Task Manager. Go to the Details section and end the SearchHost process.

Here are the steps you need to follow to do this:

  1. Press the CTRL + Shift + ESC keys simultaneously to open the Task Manager.
  2. Now you need to select the Details section from the left side menu.

  3. You need to search through the list of processes for SearchHost.exe. To find it faster, simply type the first few letters, and it will appear.
  4. Right-click on it, select “End task,” then click on “End process” again to turn off the process.

  5. To restart it, all you have to do is open the taskbar of your computer.

  6. Now test to see if the Outlook 365 Indexing Problem has been fixed.

Remove Outlook from the indexing service.

The Outlook database files may be unable to work properly with the indexing service due to an interlock between them. In this case, you can try removing Outlook from the indexing service in order to use it properly.

To do this, you need to access the Indexing Options and remove the location for Outlook.

Note: The only issue with this method is that the search function in Outlook will operate somewhat more slowly after implementing this fix. Therefore, if you need optimal performance, you do not need to follow this procedure.

Follow these steps to learn how to remove Outlook from the index service:

  1. Press the Windows key + R to open a Run dialog box.
  2. Type ‘control‘ inside the search bar and press Enter to open the Control Panel.

  3. Now click on the drop-down menu next to the View by button and select Large icons.

  4. Through the list of settings, search for Indexing Options and select them.

  5. Click on the Modify button to be able to change the locations for indexing.
  6. The box next to the Microsoft Outlook location should be checked. Make sure to uncheck it to remove Outlook from your index service. Press OK when you are done.

    Note: If there are multiple locations for Microsoft Outlook, disable all of them.

  7. Now test to see if you can use Outlook properly.

Close all the apps in use.

The Outlook 365 indexing problem could also be caused if your computer is unable to allocate enough resources to the indexing service. Your PC might be working slowly because there are too many apps running simultaneously, which can result in the indexing pausing or working very slowly.

You can try to let your computer focus on the indexing process by closing all the other apps that are turned on and that you aren’t using. The easiest way to do this is via the Task Manager.

Here are the steps you need to follow:

  1. Open the Task Manager by pressing the CTRL + Shift + ESC keys at the same time.
  2. Select the Processes section and sort them to see which are using the most of your computer.

  3. Now right-click on the process you want to turn off and click on End task.

  4. Repeat this process with the rest of the apps that you do not use.
  5. When you are done, close the Task Manager and test it to see if the indexing remains problematic.

Enable the PreventIndexingOutlook registry entry.

Another cause for your indexing problem could be that the Windows Desktop Search is not working properly, or it’s being misconfigured by a registry key.

You can fix this by forcing your computer to turn off the Windows Desktop Search via the Registry Editor; this way, you will make Outlook use its built-in search option.

 This can be done by creating a registry entry in the Registry Editor. You can always turn it off if it is not helping you.

Here is a guide that will show you how to create the registry entry that you need:

  1. Press the Windows key + R to open a Run dialog box.
  2. Inside the search bar, type ‘regedit‘ and press Enter to open the Registry Editor.

  3. You will be prompted by the User Account Control (UAC). Click on Yes to give administrator permission.
  4. Now, use the search bar located on the upper side and search for the following subkey:

  5. Right-click on the Edit button and click on New, then click on Key.

  6. Name the key ‘Windows Search‘ and press Enter to save it.
  7. Select this key, click on Edit and New, and then select DWORD (32-bit) Value.

  8. You need to name the DWORD Value ‘PreventIndexingOutlook‘ and press Enter to save it.
  9. Right-click on this value and click on Modify.

  10. You need to change the value data to 1 in order to enable this option. Once you are done, click on ‘OK‘ to save it.

  11. Close the Registry Editor and restart the app to see if the Outlook 365 indexing problem has been fixed.

7. Repair, install, or clean install your Windows.

If you’ve come this far without a viable fix, this Outlook issue could also be caused by some corrupted files that are affecting your computer. In this case, you can resolve these problems by refreshing all the files that your system possesses.

Here are two different ways to do this:

  • Clean install – This procedure will reinstall your Windows, replacing every corrupted file with a healthy equivalent. The system problems should disappear, but remember that you will also lose all your personal files currently stored on your computer.
  • Repair Install – If you don’t want to lose all the personal data stored on your computer, you should opt for a repair install. This procedure will fix all the corrupted files in your system while also preserving the data you don’t want to lose.

  3. Under “Web Browser” select the default program.

3. Change the registered file type (Windows XP Only)

Note: This method is exclusive to Windows XP users and cannot be performed by users with Windows 7 and above. 

  1. Open your My Computer from the Desktop shortcut. 
  2. Click on the Tool option above and select the Folder options.

  3. Navigate to the File types tab.
  4. Under the “Registered file types” section, open the Advanced options of ” URL:HyperText Transfer Protocol” and click “Edit”

  6. Locate and open Internet Explorer (Iexplore.exe) in the Application used to perform action box.
  7. Lastly,  type “IExplore” and click OK in the Application box.
  8. This will change the registered file type to use Internet Explorer. 

4. Manually add the IE.Protocol CommandID

When Outlook fails to open the IE.Protocol CommandID, causes Outlook to face issues with its links. Therefore, you can manually include the missing CommandID on your windows with the instructions listed below. 

Note: Before you perform this method, make sure that your Internet Explorer is running in the background. 

  1. Open your main Desktop screen.
  2. Right-click and select New > text Document to create a document file on your Desktop.

  3. Press Win + E to open the File Explorer. 
  4. Click on the View tab at the top.
  5. Check the “File name extension” box to show the hidden viral attachments.

  12. Double-click on the file to open it (changed to green cubes). 
  13.  Allow entries to be imported to your registries. 
  14. Confirm the action on the confirmation prompt and fix the Outlook issue. 

5. Update Outlook to the latest version

Having an outdated Outlook that is not supported by Windows will also cause issues with the application. Therefore, you must check for any available updates and install the latest version of Outlook to repair any issues you are facing. You can do that as below:

  1. Open your Microsoft Outlook.
  2. Navigate to File > Account (Office account).
  3. Click on “Update options” under  Product Information and select “Update Now.”

  4. After the update is installed, you will have the latest version of Outlook. 

If Update Now is unavailable

In case you are not able to see the “Update Now” option, make sure that you click on “Enable Updates.”

  1. Press the Win + R keys to open the run command.
